Title: Purchaser/ Buyer - HVAC

Reports to: Operations Manager

Summary of Position:
The Purchaser/Buyer is responsible for sourcing, negotiating, and procuring HVAC equipment, parts, materials, and supplies to support installation, service, and maintenance operations. This role ensures the right materials are available at the right time and price while maintaining strong vendor relationships and controlling costs.

Duties & Responsibilities:  
·       Source and purchase HVAC equipment, refrigerants, controls, parts, and consumables from approved suppliers.

·       Obtain competitive quotes and negotiate pricing, lead times, and terms with vendors and distributors.

·       Issue and manage purchase orders, track deliveries, and resolve discrepancies.

·       Partner with accounting to ensure all costs a properly applied to jobs and maintain meticulous record keeping.

a.     Ensure accurate tracking of the job costs and margins meet company requirements and budgeted goals.

b.     Submit approved invoices to accounting in a timely manner for payment within vendor terms.

·       Maintain optimal inventory levels (warehouse and fleet vehicles) to support field technicians and project teams.

·       Process returns, warranty claims, and credit issues with vendors.

·       Collaborate with warehouse, service, and project management teams to forecast material needs and reduce lead times ensuring jobs are completed in a timely manner.

·       Build and manage relationships with manufacturers, distributors, and suppliers (Carrier, Trane, Lennox, York, etc.).

·       Evaluate new suppliers and products for quality, reliability, value, and logistical expenses.

a.     Process proper paperwork to onboard new suppliers for operations and accounting purposes.

·       Ensure compliance with company purchasing policies and procedures.

·       Monitor and report on purchasing costs, percentage of sales, savings, and budget variances.

·       Ensure compliance with company purchasing policies and procedures.

a.     Review and update if required the company’s purchasing policies and procedures.

Qualifications:

·       2+ years of purchasing and procurement experience.

·       Familiarity with HVAC equipment, components, and terminology (residential and/or commercial)

·       Proficiency with purchasing software; experience with ServiceTitan, Jonas, or similar is a plus.

·       Effective communication and people skills.

·       Strong negotiation and vendor management skills.

·       Excellent analytical skills and attention to detail.

·       Ability to work in a fast-paced environment and manage multiple priorities.

Preferred Qualifications:

·       Strong HVAC industry experience for accurate product/service quality assessments.

·       Associate or bachelor’s degree in business administration.

·       Procurement certification.

·       Experience with refrigerants, controls, or mechanical systems
